Updated Information

Reminder:

EthOS will not be available during:

  • Saturday, September 14 at 2 AM EDT until Monday, September 16 9 AM EDT
  • Saturday, September 21 at 2 AM EDT until Monday, September 23 9 AM EDT

Please plan your REB submissions around these blackout periods, with our apologies for the inconvenience.

As per the July 25 Research Alert, new Research Ethics applications can now be submitted online. Visit the EthOS Hub for system access, getting started and user support materials.

Previously approved, active applications (legacy protocols) are also being migrated to EthOS. However, the date on which legacy protocols will be available in EthOS has changed from September 5, 2024 to Monday September 23, 2024.

This change in date means that:

  • All migrated protocols will be visible in your EthOS Project List as of September 23, after which you can use EthOS for any post-approval events (amendments, study closures, renewals, or event reports)
  • If your existing protocol requires any of these actions before September 23, do not wait and please use the pre-EthOS post-approval event forms
  • If you have partially completed (but not yet submitted) a new REB application using the pre-EthOS Microsoft Word document, and do not wish to re-start your application in EthOS, the Research Ethics office will continue to accept applications in the pre-EthOS format until end of day September 22
    • Note: applications are processed in the order of receipt regardless of submission method

The EthOS Interim Guidelines reflect the revised dates.

System Freeze

To facilitate the data migration process, EthOS will be unavailable on the weekends of September 14-15 and September 21-22. Please plan your REB submissions around these blackout periods, with our apologies for the inconvenience.

Ongoing updates on the status of data migration and the EthOS system freeze will continue via Research Alerts and the EthOS Hub. Thank you for your support and understanding. Reach out to the Research Ethics office at reb@uoguelph.ca if you have any questions or wish to discuss your own scenario in more detail. We are here to help!
