As per the Research Alert from August 23, the Research Ethics office has begun migrating previously approved, active protocols (in the old Microsoft Word forms) into the Research Ethics Online System (EthOS).

Migration is expected to be complete by the morning of September 23, at which point any migrated content will be available to researchers in their EthOS Project List.

Scope of Migration

  • All approved, active REB applications created in Microsoft Word, and their related supplements or other documents, as of August 13, 2024
    • Closed or expired protocols are not being migrated, unless they had only very recently expired
  • REB applications already approved after August 13 will be migrated separately; any still pending approval will be migrated as they are approved
    • Researchers will receive a system notification email and/or may be personally contacted by the Research Ethics office as confirmation

Key Dates

  • To support the migration activity, EthOS will be unavailable from Saturday, September 21 at 2 AM EDT until Monday, September 23 at 9 AM EDT
  • As per earlier communications, the last day for any new REB applications using the Microsoft Word form is September 22

Please plan your REB submissions around these timelines.

On September 23

The completion of successful data migration will coincide with the launch of EthOS functionality for post-submission and post-approval activities. Researchers will be able to use our best-in-class EthOS solution for all research ethics application scenarios.

Thank you for all your encouragement, support, and understanding throughout the many milestones of our EthOS launch.

For any EthOS-related questions, contact the dedicated support team at RAIMSsupport@uoguelph.ca

Watch for final confirmation and an official update on data migration status via Research Alert and the EthOS Hub by mid-morning September 23.
