Options for Grading and Invigilation of Exams

Academic units have the following options where there is a need for invigilation:

  1. Administrative, Professional or Managerial staff may be requested to invigilate.
  2. TAs currently holding a work assignment:
  • At the frontend, invigilation hours may be built into the TA work assignment (include in 'duties & responsibilities' on the Posting, Offer, and TA Work Agreement). For example, a TA Work Agreement may assign “5 hours for exam invigilation, of which 2.5 hours are allocated to the final exam in this course, and 2.5 hours will be assigned by the department (when the final exam schedule is known) to the final exam in another course”.
  • When more invigilators are required, and once the exam schedule is known, interested and available current TAs are paid at the hourly Schedule B rate as ‘extra work’ (10.03(b) and 10.05(b)). No posting is required; seniority is not considered.

A posting is required when more invigilators are anticipated (10.01(b)). Options 3 and 4 create an application pool of invigilators from which to draw should the pool from options 1 and 2 above be exhausted:

3. Post a UTA work assignment with the sole responsibility as invigilating.

4. Post separately for Invigilator Only work:

  • Type of Work Assignment = Invigilator, Unit 1
  • Duties and Responsibilities: Select only Invigilating
  • Use the Wage Rate section to inform applicants whether the work assignment is posted for Graduate or Undergraduate candidate(s).
  • Required Qualifications examples: Does not currently hold a work assignment this semester; Specific availability during the exam period; Preference is given to students in the Department of X.
  • In the case of invigilation where candidates are likely to be ‘equally qualified’, the most senior applicant(s) is awarded the work.
  • Be aware that successful candidates for these work assignments will earn a Seniority Point when the work assignment is closed.

A posting is not required when the ‘extra work’ is unanticipated (e.g., cannot be filled with current TAs (options 2 and 3 above), and/or does not have a sufficient applicant pool (options 3 and 4 above):

5. Work can be assigned to a person deemed suitable (11.01 and 11.02(b)(c)).
