Deferred Privilege (Final Exams)
Deferring a Missed Exam or Final Assignment in the Final Exam Period
If you are not able to complete a final exam or assignment that is scheduled within the FINAL exam period due to extenuating/exceptional circumstances you can apply to have the exam deferred. Student MUST contact the BAS Program Counsellor within five days of the deadline/date of the evaluation. Please do not come to the Program Counselling Office while still ill. If you are sick you can start the process through email.

Important Notes:
- Do not write a final exam unless you are confident that you are medically/psychologically fit to do so. Once an exam has been written, there are very limited options in terms of academic consideration (none of which are guaranteed).
- A Deferred Privilege most commonly refers to a Deferred Final Exam, but may also be a Deferred Condition. A Deferred Condition usually indicates a situation where the missed work is a final assignment or final paper, for example - usually something other than a regularly scheduled final exam. If a Deferred Condition is granted, students will be instructed to contact their Professors to make arrangements for completion. If a Deferred Final Exam is granted, the exam will then be written according to a deferred schedule set by the Registrar's Office.
- If you are unable to write an exam for medical or psychological reasons, please visit a health care provider (such as Student Health Services, Counselling Services, family doctor, walk-in clinic, nurse, therapist, counsellor, naturopath, chiropractor, dentist, etc.) and obtain supporting documentation. When you are well enough to return to campus, please bring the original copy to the BAS. Program Counselling Office (MacKinnon RM128) and complete a Deferred Privilege Request Form to apply for a Deferred Final Exam or Deferred Condition.
- If you have other valid compassionate grounds for missing a Final Exam or Assignment, please also follow the above instructions. Documentation will be necessary to verify your circumstances - the type of documentation required will depend upon the individual situation (for example, an obituary or funeral notice). If you are unsure if you are eligible for a Deferred Final Exam or Deferred Condition, then contact the BAS Program Counselling Office. It is important that your documentation cover the date the exam was scheduled to be written or the final assignment due.
** If you have applied to graduate, please note that graduation will be delayed unless you can make arrangements directly with the Course Instructor to complete the Deferred Final Exam or Deferred Condition and have it graded before the clearance for graduation deadline. Please contact the BAS Program Counsellor immediately for questions. **
What can I expect after I've requested a Deferred Exam or Condition?

Once grades are released on WebAdvisor, “INC” will initially appear instead of a grade for any course that a final exam/assignment has not been completed. It will remain as "INC" until your request has been reviewed. After the Academic Review Committee has reviewed deferral requests, “DEF” will replace “INC” if academic consideration has been granted. If you see the "DEF" posted instead of a numerical grade, your request has been approved.

If you are granted a Deferred Exam, you will also receive an email to your U of G email account - from the Registrar's Office - at least one week prior to the exam period, to confirm and advise you to check WebAdvisor for the day and time of the deferred exam.

It is your responsibility to check your deferred exam schedule on WebAdvisor.

If you are granted a Deferred Condition (for example, a deferred final paper or assignment), you will receive an email to your U of G email account from the Registrar’s Office, with instructions to contact your instructor to establish the terms of the deferred condition.

The Registrar's Office will set the Deferred Exam Schedule with dates and times that the exams will be completed.

If your request for a Deferred Privilege is not approved, the "INC" will be replaced with a final grade calculated using a grade of zero on the Final Exam or Assignment.
