Reporting to Manager, Program Management Office (PMO) with strong partnership to the Financial Services business unit and Computing & Communications Services; the Organizational Change Manager will be part of our high-profile, multi-year enterprise-wide Finance ERP initiative. The initiative will be crucial in preparing and enabling the organization for transformational change in providing financial services to the University. This will be supported through a new world-class and cloud-based ERP system that will enable the University to modernize our current financial system and processes.

The new financial system will modernize our applications and support the institution’s Our Time: University of Guelph Strategic Plan 2022-27. This new system will provide the ability for timely information and data to be delivered to university leadership for ease of access to information for efficient and informed decision making.

The Organizational Change Manager plays a key role in ensuring the program (change initiatives) meet business objectives of the Financial Services Office through analysis of organizational readiness, assessment of stakeholders (e.g., researchers, staff, sponsors, partners, end-users and others impacted by change), the creation and execution of change management plans that include: a communications plan, a coaching plan, a resistance management plan, a training plan, and by reinforcing the change.

The Change Manager’s focus is on the people side of change, including the impact of changes to business policies, processes, systems and technology, job roles and organization structures.

In addition to a strong alignment with the Our Time Strategic Plan 2022-27, the new system will reduce risks and address many operational challenges resulting in increased efficiency of human effort and providing financial savings.

Responsibilities:

  • Drive effective organizational change management for and within the Financial Services business unit
  • Apply a structured organizational change management methodology and process
  • Create and execute change management plans that include: a communications plan, a coaching plan, a resistance management plan, a training plan, and by reinforcing the change
  • Consult and coach people managers, supervisors and project teams
  • Work with university sponsors and stakeholders, both internal and external, as it relates to organizational change management, including identifying and managing the adoption, usage, and reinforcement of change
  • Prepare, equip, and support leaders and people managers in leading and facilitating change including, but not limited to, assisting with communications, planning for changes in job roles (e.g., job fact sheets), managing and addressing challenges with changes in productivity, employee resistance and/or employee performance
  • Evaluate and ensure user readiness before change is implemented, advising if more time is needed for change management or training for business leader/RSO/organizational reputational reasons or to improve success of change adoption
  • Enable effective communication throughout the lifecycle of change initiatives
  • Lead the production of training materials and delivery of training, including documentation, web content, video-creation, and training sessions as well as supporting others in these activities
  • Work with the Project Team to develop and communicate ongoing support plans.
  • Assess training readiness and identify training need, conducting knowledge and skill gap analysis of each group impacted by the change (e.g., different groups of end-users, internal versus external stakeholders, etc.) to inform training plans
  • Deliver change management training to those impacted by the change per agreed upon schedule or on an ad hoc basis, with the timing of training informed by knowledge of the status of other change initiatives across the University, Finance knowledge of other internal or external deadlines or pressures on end-users/stakeholders
  • Deliver role specific training on tools, systems, policy/process and other RSO and organizational-wide changes
  • Evaluate the effectiveness of training plans, materials and individual sessions and use feedback from session participants, end-users and stakeholders to continuously improve training approaches and delivery
  • Prepare managers and supervisors to support and coach employees, end-users and stakeholder following training

Requirements of the position include:

  • Proven track record leadership and building relationships (advocacy, collaboration, cooperation, motivation, trust-building, influencing, team building, championship, support building).
  • Strong business acumen and Financial Services and/or Financial ERP knowledge. Solicits information on enterprise direction, goals and strategy to determine how the OCM function can add value to the organization and to client/stakeholder satisfaction. Makes decisions and recommendations clearly linked to the organization’s strategic goals, reflecting an awareness of external dynamics.
  • An undergraduate (Master’s degree preferred) in Business, Information Technology, Organizational Behaviour, Organizational Psychology or related field plus at least five to ten (5-10) years’ related project management experience, or an equivalent combination of education and experience;
  • Change Manager or Change Practitioner certification preferably from Prosci
    • Other certifications in Project Management or Business Analysis is considered an asset;
  • Experience working in the higher education (teaching, research and administration) is highly valued;
  • Demonstrated experience leading complex, large enterprise-scale projects across multiple and diverse stakeholder groups;
  • Ability to thoroughly assess implications of proposed policy/ processes changes;
  • Excellent organizational and planning skills;
  • Flexible and able to adapt project planning to meet stakeholder needs;
  • Excellent communication skills, both oral and written, with demonstrated ability to liaise with internal and external stakeholders at all levels of the organization;
  • Strong interpersonal, decision making, and teamwork skills as well as a strong client focus;
  • Facilitation and conflict resolution skills;
  • Demonstrated high creativity, innovation and initiative.
