The CIHR Healthy Cities SMART Training Platform (www.smart-training.ca) is designed to train students from academic institutions across Canada to help make cities healthier, more livable, and more resilient.  As part of this platform students have the opportunity to participate in unique platform courses, industry-based and community experiential learning placements, and course opportunities from member institutions. There is also an annual summer school and Healthy Cities conference to aimed at training the next generation of researchers in implementation science and healthy cities.  Staff and faculty from the Guelph Family Health Study at the University of Guelph (www.guelphfamilyhealthstudy.com) manage the day-to-day operations of the SMART Training Platform. 

We are looking for Training Platform Coordinator to join our team.  We are seeking someone who is experienced as a project manager working in a busy team environment to help with the management of all aspects of the SMART Training Platform. Fluency in both English and French would be an asset. 

Responsibilities

Accountabilities of this role include, but are not limited to:

  • Manages regular communications between all members of the training platform, including the management team, faculty, and student trainees
  • Administrative duties, such as transcribing meeting minutes, drafting correspondence, processing student award documentation/forms, processing travel and expense claims
  • Assists with the preparation and maintains training platform documentation and records and reports
  • Updates social media, website and other communications based upon approved guidelines and materials
  • Contacts and schedules training platform meetings and webinars, coordinating logistics such as online meetings, room bookings and meeting materials
  • Coordinates student experiential learning placements with community partners
  • Processing of basic financial transactions, invoices, purchase orders, financial reconciliation of accounts following specific guidelines and processes.
  • Administers and monitors operating budgets and grants ensuring accuracy of transactions processed; maintains documentation for all transactions and reconciles accounts; resolves discrepancies and brings unresolved issues to the attention of the supervisor
  • Schedules and arranges symposium, conferences, and other large-scale events
  • Participate in the development of materials for knowledge translation and dissemination

Requirements

  • 2-3 years of post-secondary education in health-related or education-related discipline, with some experience required; this may include experience with project management and office administration, human research, education, computer skills, and event-planning skills
  • Highly developed organizational and project management skills
  • Proven competence to communicate effectively both verbally and in writing
  • Outstanding interpersonal skills
  • Proficient with Microsoft Suite including Teams, PowerPoint, Excel, and Word
  • Experience with WordPress, Qualtrics, and Canva an asset
  • Fluency in English and French an asset
